Some advice on how to share information
Events
Events for employees should be added to the intranet calendar. You can do this yourself, but please check first whether someone else has already created the event.
Guide: Create an event in the calendar on uia.no/for-employees
Tips for extra visibility
- Post a short announcement on the front-page announcements wall with a link to the event page for additional visibility.
- Is the event open to all employees? Send an email to webredaksjonen@uia.no and ask for it to be included in the internal newsletter.
- Is the event open to students and external audiences? Ask someone in your unit with editing access for assistance, or send an email to kalender@uia.no, and we will publish it on uia.no.
- Promote the event through Teams posts.
Short messages and operational notices
Where you should publish short messages and operational notices depends on your target audience:
- All or many UiA employees: the announcements wall on the intranet
- Employees in a defined group, such as a department, division, project, or other unit: Teams
- Other smaller groups: email
For particularly important messages and operational notices that affect many users or have a significant impact on employees' day-to-day work, you may ask the Division of Communications to include the information in the internal newsletter and, where appropriate, as a high-priority announcement on the front page of Innaskjærs.
Messages of exceptional importance may be distributed through a dedicated email to all employees, subject to approval by the university management.
News
If the information has news value and is relevant to the majority of UiA employees, you can contact the Division of Communications' team for assistance in producing a news article for the intranet.
News that is primarily relevant to a smaller group, such as a faculty, department, division, or similar unit, can be shared through Teams.
Permanent information
All employees
Information that remains relevant over time for the majority of UiA employees in their day-to-day work should be published on information pages on the intranet. Examples include information on how and where to submit travel expense claims, university-wide research ethics guidelines, and crisis management procedures.
Contact the relevant content owner for assistance in creating an intranet page for the information.
Employees within a unit (department, division, etc.)
Information that needs to be available to employees within a specific unit can be stored in files (restricted access) or shared documents (accessible to all UiA employees) within the unit's Teams site. Some divisions have chosen to use communication sites connected to Teams.
Read more about using Microsoft Teams.
Employees within a faculty
If information needs to be available to all employees within a faculty, it should currently be stored in the faculty administration's shared documents in Teams.
