Staff newsletter

To ensure good internal communication at UiA, the leadership has decided that a newsletter will be sent to all members of staff. The Division of Communication is responsible for sending out this newsletter.

Feedback?

Feedback and questions can be directed to webredaksjonen@uia.no

The newsletter is sent out weekly on Fridays, except during holidays.

The target audience for the internal newsletter is all employees. Therefore, content to be included in the newsletter should be relevant to the majority of UiA's staff.

UiA has an agreement with the Norwegian company Make. Read more about use of newsletters for other purposes.

Content

How much content?

Content should be presented briefly and concisely, so recipients find the newsletter relevant and valuable.

What type of content?

  • Important news from Innaskjærs
  • Important news from UiA.no
  • Important events for staff
  • Links to media content about UiA
  • Editorials from UiA's management
  • Important operational information (safety, procedures, etc.)

How do we prioritise?

There are several criteria to determine if content is considered "important enough" for inclusion in the newsletter. Examples include:

  • Content that promotes culture, pride, inclusion and social cohesion
  • Information that is important for employees to perform their tasks effectively and "correctly"
  • Information that UiA is required to provide to its employees
  • Information about opportunities for employee professional development
  • Information that helps UiA staff be good ambassadors for the university
  • Information that supports UiA's strategy and vision
  • Information about important internal processes, such as rector elections
  • Information that, once made known to employees, can make UiA a better university

The Division of Communication prioritises content based on a mandate from UiA's leadership. The responsibility for prioritisation lies with the web and intranet manager. The Director of Communication is the responsible editor.

Language

The primary language for the newsletter will be Norwegian, but particularly important information will also be available in English.

Data protection and analytics

UiA uses Make AS as the tool to send and analyse newsletters. Only necessary staff information is shared with the provider behind Make, and all data is stored exclusively in Norway:

  • Email address
  • Campus affiliation (Grimstad/Kristiansand)
  • Department/unit affiliation
  • Job title (academic/technical-administrative)

To improve the newsletter, the Division of Communication analyses its usage. In Make, administrators can see:

  • How many people have opened the newsletter
  • How many have clicked on the various links
  • How many and who have unsubscribed from the newsletter

Like with other digital systems at UiA, Make administrators have the technical capability to view newsletter usage at an individual level (open rates, link clicks, setting changes). This information will not be used or shared with others.

Unsubscribing

The leadership strongly encourages all UiA employees to remain on the newsletter distribution list. However, it is possible to unsubscribe from UiA's newsletter via a link at the bottom of each email. Users who unsubscribe may be contacted later for follow-up.

Mandate from UiA's leadership

The goal of this direct communication channel with employees is to ensure the dissemination of important information to UiA staff. This information may include safety updates, leadership directives, quality improvement initiatives and content that fosters culture and pride.

The sender of the newsletter will be the institution, with the Division of Communication as the primary contact point.
