Manager's monitoring of working hours

The manager is responsible for monitoring the working hours of their employees, ensuring that they comply with the regulations set forth by law, agreements, and internal guidelines.

For technical-administrative employees

The usual working hours for technical/administrative positions are 37.5 hours per week for a full-time position.

As a manager, you are expected to:

  • Monitor registered time consumption, including flexitime, overtime, vacation, and sick leave.
  • Ensure that employees do not accumulate so much flexitime that it becomes difficult to reduce the flexitime balance to 50 hours by the settlement date. You will receive alerts in the manager portal inbox on July 1 and August 1 or November 1 and December 1, depending on the unit's settlement date, for employees who have more than 50 plus hours.
  • Ensure that employees do not have more than 10 minus hours when transitioning to a new year. January 1 is the standard date for flexitime settlement, but various settlement dates are agreed upon within the organization.

Overtime

Managers must approve all use of overtime before the employee registers it in DFØ.

  • Discuss overtime usage with those affected. Can the tasks be completed without using overtime? Consider if tasks can be postponed, along with distribution among employees.
  • Monitor individual use of overtime. You are obliged to keep an eye on the workload for each employee and ensure that legal maximum limits are not exceeded.
  • Ensure that overtime work is time-limited and does not occur as a regular and planned arrangement.

General rules for overtime

Reports should not be approved if:

  • There are working days that are not registered.
  • You have doubts about registrations (for example, if you believe there was no approval for overtime where it was registered).

As a manager, you should assess whether the employee frequently uses self-reported sick leave, often arrives late, and any other irregularities that should be discussed with the employee. In your absence as a manager, the acting manager must approve the reports. Note that all overtime must be pre-approved, and the extent of the overtime recorded must align with the extent you believe you have authorized.

For academic employees

UiA uses Workplan (WP) as a tool for work planning. Based on information from the payroll system (SAP) and information about subjects from the student administrative system (FS), work plans are created for academic employees. Available time for each individual is allocated to teaching/supervision, research/development, and other activities. As a manager, you must allocate time for work planning meetings with each employee. The work plan is valid for the calendar year. The employee will receive their work plan once it has been completed. UiA has entered a productivity agreement for certain tasks beyond the established work plan.
