Overtime for technical/administrative employees

Conditions for receiving overtime payment

  • Overtime is work beyond normal working hours per day/week.
  • Overtime must be pre-assigned.
  • Overtime must be time-limited.
  • Overtime must be imposed due to special needs.
  • Overtime should not occur as a regular and planned arrangement.
  • All actual working hours must be registered in the period (at least one month) for which overtime is paid.

Normal working hours for those employed in technical or administrative positions are 37.5 hours per week, including lunch during which you must be available for the employer.

Academic employees are in a particularly independent position and are therefore exempt from the working time provisions of the Working Environment Act.

How much overtime am I allowed to work?

You are required to perform assigned overtime work, but if you have health concerns or significant social reasons that prevent you from working overtime, you should be relieved from overtime work.

The limits for assigned overtime for technical/administrative employees, after adjustment for the 37.5-hour working week, following UiA’s agreement with the main union representatives on extended overtime limits are:

  • 22,5 hours over seven days
  • 60 hours over four weeks
  • 400 hours over one year

What breaks and time off should I have?

Employees should have at least one break/mealtime if the daily working time exceeds five and a half hours. If the employee is required to work more than 2 hours overtime after the regular working hours have ended, a break of at least half an hour must first be provided, which shall be compensated as overtime work.

Everyone should have at least 11 consecutive hours of downtime within 24 hours and at least one consecutive downtime period of 35 hours within seven days.

Registration of overtime

As a technical or administrative employee, you should register your working hours and assigned overtime in DFØ to receive overtime payment.

Overtime payment

Overtime payment is made in accordance with the state’s main tariff agreements. Academic employees have particularly independent positions and cannot record overtime. Technical and administrative employees can register overtime when the conditions for overtime are present.

Technical and administrative employees register agreed overtime in DFØ. Registered time goes through an electronic workflow to the supervisor for approval. Registered overtime comes to the supervisor for approval on the 15th, 23rd, and 1st of the month. All overtime registered and approved before the payroll registration deadline is paid in the first salary payment.

When registering overtime, the basis for the overtime must always be stated in the comments field and confirmed as pre-approved.

Rates for overtime compensation:

  • 50% overtime compensation for assigned overtime work up until 8:00 PM.
  • 100% overtime compensation for assigned overtime work between 8:00 PM and 6:00 AM.
  • 100% overtime compensation for assigned overtime work on Saturdays, Sundays, and holidays.

If you are required to work on Saturday or Sunday, a supplement is paid per working hour during the period from Saturday 12:00 AM to Sunday 11:59 PM.

Overtime or extra work for part-time employees:

As a part-time employee, you can receive overtime payment if you have first worked a full working day/week and the conditions for overtime are present.

Work within 100% position is not overtime but is considered extra work when working reduced or part-time and is paid at the regular hourly rate.
