Scholarships for students are primarily intended for incoming students for either study or internship placements, while staff can participate in teaching and training exchanges (both incoming and outgoing).
Scholarships are only available for the projects listed in the table, and the selection of students and staff is conducted within the academic environment. The process of student admissions (both incoming and outgoing) follows the usual cycle and is carried out in collaboration with the International Office.
Funding applications can be submitted annually. Applications from academic environments must be coordinated and submitted by the International Office, which oversees the application process for those who have expressed interest within internal deadlines. Administrative support from the faculties is required for these applications, as the implementation of projects demands resources that must be secured. See further details about the division of responsibilities between the International Office and the faculties below.
Information about the 2025 application process
- 5 December: Faculty contacts must express their interest by emailing sissel.gjennestad@uia.no. An email has been sent to all faculty contacts.
- Before 1 January: You will receive confirmation on whether you may proceed with the application process and whether you need to collaborate or share application texts.
- January: An internal application webinar will be held if required.
- 1 February: First draft of the qualitative text and the number of mobilities must be submitted.
- 1–7 February: Feedback on texts and applications will be provided by the International Office to applicants.
- 9 February: Final text is to be sent to the International Office, which will consolidate the applications, review the overall budget, and submit the application through the portal.

UiA has been running Global Mobility Projects since 2016 (Albania and Sri Lanka, completed in 2018) and has submitted and received project allocations every year.
For more information about the programme, please refer to the website of the Directorate for Higher Education and Skills (HK-dir) (in Norwegian).
It is the academic environment that has applied for and received project funds that is responsible for ensuring the project is carried out in accordance with the application. The International Office assists the faculties and serves as the contact point for HK-dir.
International Office:
- Coordinates and submits the consolidated application from the academic environments to HK-dir by the application deadline.
- Reports to HK-dir.
- Transfers scholarship funds to the faculty as they are used.
- Arranges scholarship agreements.
- Acts as the contact point for students with questions about visas and insurance.
- Keeps the website for incoming students on Global Mobility up to date.
The Faculties:
- Ensures that the inter-institutional agreement is signed by both partner institutions before mobility begins.
- Selects who will receive scholarship funds (both inbound and outbound).
- Contributes relevant information from individual projects for reporting purposes.
- Stores the Mobility Agreement and Confirmation of Stay (for staff) and Learning Agreement (for students) in Teams.
- Ensures that internal invoices are processed after staff travels to transfer funds to the faculty.
- Assists students with Learning Agreements.
- Acts as the contact point for travel, including any flight ticket bookings, which is determined locally by the faculties.
- Handles planning and reception of inbound staff, including BankAxept cards and arrangements for staff scholarship payments. Internally invoices to UA afterward.
- Reminds faculties to plan the stay well in advance to allow sufficient time for any visa processes.
Staff mobility
The nomination of staff for mobility is done by the faculty in consultation with the host institution.
Before departure, staff members must sign a Mobility Agreement, which includes details about the teaching/training program, the partner institutions, and information on responsibilities and obligations.
Please note that the minimum duration for Global Mobility is 5 days + 2 travel days. The maximum scholarship amount is listed in the overview above and refers to granted project funds. Any remaining expenses must be covered by the faculty.
The scholarship amount is calculated based on the duration of the staff member's stay at the partner institution and follows the rates set by the EU Commission. A travel grant is also provided, which is determined by the distance between UiA and the host institution.
For more information on the rates, please refer to the "more about scholarships" tab below.
Documentation requirements for staff mobility
Faculty contacts managing the Global Mobility Project have access to a Teams group where documents are stored and templates for all agreements are available. If you are an employee going on a project mobility, please contact your faculty contact or Sissel Gjennestad.
- Mobility Agreement for teaching or training (staff fills out and gets signed by the faculty contact, who stores it in Teams)
- Grant Agreement (Sissel fills out and stores in Teams)
- Confirmation of Stay (faculty contact stores for incoming staff in Teams, Sissel or the faculty contact for outgoing staff)
For outgoing staff:
The faculty contact for the project must inform sissel.gjennestad@uia.no before the mobility period for approval of the staff travel.
The faculty sends an internal invoice for the transfer of funds after the completion of the staff travel. For information needed for the internal invoice, please contact sissel.gjennestad@uia.no.
The faculty contact stores the Mobility Agreement in Teams (shared area), while Sissel stores the Grant Agreement and Confirmation of Stay.
Incoming staff
- All practical arrangements and information are handled by the faculty/project leader who applied for the funds.
- The faculty contact must report the mobility dates to Sissel at least 3 weeks before the staff member's arrival.
- Sissel provides the scholarship amount that can be internally invoiced, including the work order.
- The faculty contact or another administrator orders the BankAxept card and deposits the amount (and any additional amounts/special arrangements) and ensures the staff member’s reception. Alternatively, the scholarship can be transferred to the incoming staff member’s bank account abroad after the stay, or to the partner institution. This depends on the arrangements the partner institution has for staff travel. If funds are transferred to the partner institution, it must be verified that no tax is withheld and that the incoming staff member is reimbursed for expenses equivalent to the scholarship amount if the staff member has paid for the travel upfront.
- The faculty contact ensures the Confirmation of Stay is signed upon departure and stores it in the Teams globmob documents. This serves as a checkpoint for Sissel to confirm that the stay was completed according to the application, the allocated amount, and the internal invoice.
- If the incoming staff needs to transfer remaining funds from the BankAxept card to their account in their home country, the finance department can assist with this.
- NB: The BankAxept solution has increased its fee to over 800 NOK per card, which must be covered by the faculty. If there are remaining funds from the OS (Operating Support) at the final project report stage, the cost can be transferred to the faculty. There are tax requirements for scholarship payments to staff. More information on this will be provided here in the autumn of 2024.
Example of an application text (in Norwegian)
Student mobility
As long as the students are nominated within the deadlines of 15 October / 1 May and follow the instructions in the application process, they will be treated as regular inbound exchange students. This includes a guarantee for student housing.
Before arrival, students must sign a Grant Agreement and a Learning Agreement (LA). The International Office assists students with the Grant Agreement. The LA outlines the courses the student will take during the exchange and which courses they will replace. The International Office sends the LA along with the admission letter, which is signed at the faculty. The administrative faculty contact for Global Mobility then uploads the document to Teams. (Contact Sissel Gjennestad if you do not have access).
The scholarship amount is calculated based on the length of the student's stay at UiA, and it is paid out once the student arrives. UiA uses the project’s allocated funds to cover the inbound students' visas and insurance. Students will receive a BankAxept card upon arrival, to which scholarship funds are transferred monthly. Students who stay in Norway for only one semester will not have a Norwegian bank account and will use the BankAxept card for the entire semester.
