UiA has an agreement with AirPlus and wants all employees travelling on University business to apply for a corporate card. This is a card with corporate liability where UiA has payment liability, but the card is issued in the name of the employee. Annual fee is paid by UiA.
The card is used for own trips and expenses that are naturally associated with the trip, such as transport, accommodation and food.
The card cannot be used to cover personal expenses or for cash withdrawals.
The card should not be used to purchase goods/services/software in connection with your position at UiA.
The invoice is sent from AirPlus to your private address/e-invoice and is paid by the employee. Submit the travel bill as soon as possible after the trip has ended. Paid travel expenses from UiA must be used to pay invoices from AirPlus.
UiA uses the Book Now-Pay Later service from AirPlus. This means that the flight is charged to the card and invoiced after the flight has been completed. Book Now-Pay Later applies when there are more than 14 days from booking to departure. The credit card must be registered in your profile at Berg-Hansen for Book Now-Pay Later to work.
Applying for a card
By applying for a credit card, you also accept the guidelines for the use of the University of Agder’s corporate card.
Using the card
Once you have received a corporate credit card, you are obliged to use it for payment of travel expenses. Therefore, register your card number in your travel profile at Berg-Hansen.
It is important to activate your credit card before you register it in your profile. You do this by replying to an SMS from AirPlus asking you to choose your own PIN code or wait until you receive a card with a random PIN code and then log on to the AirPlus website and enter the code.
Register the card at Berg Hansen
- Log in to Berg-Hansen
- Go to your profile and choose Credit Card
- Register the card
- Select payment method on the page: Credit card (CA xxxxxxxxx) for "Payment method for business trips" and "Creditcard as guarantee for hotel and car rental". Travel accounts can only be used by UiA’s designated purchasers and for group travels.
Credit cards and travel insurance
You are insured by the credit card company when:
- you use the credit card on 50% or more of the travel cost of your trip and
- the journey is by public transport
The insurance is valid for business trips of up to 90 days’ duration. The insurance applies to the cardholder who resides in the Nordic countries and is a member of the National Insurance Scheme or a similar scheme in the Nordic home country.
Please note that many private insurances do not cover business travel.

Information from AirPlus
New payment processes and digital reminders for AirPlus
The European Banking Authority (EBA) has tightened the standards for how banks must identify unpaid invoices. The new rules mean that individual unpaid invoices can impact card engagement. To avoid this situation, new payment processes and internal procedures in companies will ensure that cardholders pay on time.
New processes and procedures for cardholders and administrators
As a result, AirPlus is introducing digital reminders to enable quicker communication with cardholders and administrators. This will be done via SMS and email to cardholders and the company's designated contacts. Physical letters will also be used in communications. Additionally, administrators can find all information about overdue invoices in the AirPlus Portal, enabling them to quickly contact the relevant cardholders.
Important to update contact information
To ensure the process runs smoothly, it is crucial that all cardholders keep their email addresses and phone numbers updated at all times. This can be done quickly and easily in the AirPlus app.
Eurocard recommends all cardholders to use the AirPlus app, which can be downloaded from the App Store and Google Play. In the app, you will have full control over:
- Overview of balance and transactions
- Access to your PIN code
- Card invoices
- Ability to block cards
- Alerts about important card events
Additionally, you should set up e-invoices or direct debit in your online banking to avoid paper invoice fees. The paper invoice fee is paid by the employee.
