Process for proposal writing

In an optimal scenario, the development of project ideas and identifying suitable funding takes place before the relevant calls are announced.

Development of a project can be rooted in identified quality gaps or other development needs that exist, or the need to design of entirely new educational content - anything from microcredentials to a full programme, within a discipline or cross disciplines. The larger and more ambitious the project is, the earlier it is necessary to begin.

When considering suitable funding possibilities and drafting a timeline for project development, you can take a look at our proposal calendar (Overview to calls, see the box on the right) that lists most of the relevant calls from EACEA and HK-dir. In the same box, we share suggestions for project timelines. Utilizing support services for improving the quality of proposals should also be taken into account in the timeline for proposal writing.

An important phase in proposal development is to get one's project approved by the leader of the applicant unit. For more information on this, please get familiar with internal approval of projects.

Three steps in proposal writing:

Before the call is announced:

  • Develop the idea
  • Define scope of the project, optimally in collaboration with a controller
  • Map gaps, needs, existing initiatives in the same topic
  • Find partners if they are required
  • Define potential funding sources
  • Begin the process for internal anchoring and approval

After the call is announced:

  • Get the project proposal approved in the applicant unit
  • Write the proposal!
  • Utilize support services
  • Collect necessary documentation of eligibility
  • Submit

After submission:

  • Archive the proposal
  • PES/PUS payments
  • Once receiving the results: begin to implement the project, or evaluate the appetite and possibilities for a renewed proposal
