Sending sensitive information to UiA staff
Students and staff who need to securely send documents internally to a UiA staff member can use the 'Secure channel to UiA' service in ServiceNow as a preferred alternative to email and 7-Zip.
Sharing via email
Email is suitable for communication with external parties who do not have Teams access and for one-way communication. For collaboration, Teams is a better solution.
Exercise caution when sending email attachments - attachments containing personal information should not be sent outside the organisation unless specified as a transfer or data processor task under a formal agreement. Please contact our Data Protection Officer for guidance. Sensitive files should never be sent via email without additional encryption; see information about 7-Zip.
7-Zip
If you need to send or store documents requiring enhanced protection, the IT division recommends using 7-Zip. This is a simple and secure way to encrypt documents, ensuring information does not fall into the wrong hands.
FileSender
If you need to send documents that are too large for email, you can use FileSender via your web browser.

Approved software
Some individuals at the university store and share documents using services like Facebook, Google Docs or Dropbox. These services are not approved for work-related use, as UiA does not have data processing agreements with them. If you would like an overview of approved and non-approved software, please check the software overview.
