Guidelines for the use of video for interviews in student assignments

Students utilising personal computers for project work must adhere to specific guidelines for conducting video interviews via Zoom.

For students working on a personal computer, the following guidelines apply:

  • If it is not possible to conduct an interview in person, Zoom can be used for low-risk projects with certain limitations.
  • Recording interviews on Zoom is not allowed. If you need to record an interview, you can use an audio recorder borrowed from UiA Help. Alternatively, you can take notes during the interview.
  • Interviews in high-risk projects cannot be conducted on Zoom.
  • High-risk projects are those that include sensitive information.
  • High-risk projects can also be projects that involve vulnerable groups.
  • High-risk interviews must be conducted over the phone, and any notes taken must be anonymised, or you can use an audio recorder borrowed from UiA Help.
  • Any transcription from the audio recorder must be anonymised, and the file must not be uploaded to any other device.

Prerequisites for conducting meetings in Zoom:

  1. Meeting links must not be shared openly
  2. Ensure meetings are password protected
  3. A lobby/waiting room should be used to admit the right participants to the meeting
  4. Follow this guide to ensure the correct setup.

What is personal data?

Personal data refers to information and assessments that can be linked to individuals:

  • directly, via identifiable data such as names, social security numbers or other identifying information about individuals
  • audio recordings of voice, photo or video recordings
  • data that can be traced back to an email/IP address (e.g. when using online surveys)
  • indirectly, by combining background information that can be linked to individuals
  • reference numbers in the data material referring to a separate list of names (scrambling key)
