For teaching and meetings
Zoom is an application that can be used on all devices, in a browser, and in classrooms.
When a classroom is designated as a "Zoom Room," it means that the room is set up for hybrid teaching.
Startup assistance for teaching
If you need technical startup assistance in the classroom:
Create meetings in zoom
- Log in with your UiA account
- Click on "Sign in" and log in with your UiA user account if necessary.
- Click on "Schedule a New Meeting."
- Enter the meeting time. Check "Enable join before host" if you want participants to join before you start the meeting.
- If you plan to join from a meeting room with Cisco Video Conference equipment, uncheck "Mute participants upon entry"
Also check "Enable join before host." Use a passcode that contains only numbers. - Click "Save"
Once the meeting is created, click on "Copy the invitation." This will display all the information needed to connect to Zoom. This information can be sent to those attending the video meeting.
Book a Zoom Room
After your classroom has been confirmed in the scheduling system TP or from timeplan@uia.no, you must link your Zoom meeting with the room via Outlook. Each room has a calendar.
After creating the meeting link, go to the Meeting function in Outlook and use "Scheduling Assistant" to add the room. Select "Add room" and find the room you want to link to your Zoom meeting in the list.
Breakout rooms
Breakout rooms allow a large meeting/lecture to be divided into several smaller meetings.
This can be done during the meeting (provided the person doing it has host or co-host privileges) or in advance.
To assign many users to the correct breakout room in advance, a CSV file is used when setting up the meeting.
Recording
- Log in with your UiA account
- Click on “Settings” in the left-side menu
- Then click on “Recording”
- Here you can enable/disable the ability to record meetings you create.
- If the feature “Hosts can give participants the permission to record locally” is enabled, the host can allow other participants to record the meeting. This access is granted during the meeting in the participant list.
- Note! REMEMBER TO INFORM PARTICIPANTS THAT THE MEETING IS BEING RECORDED!
It is recommended to avoid recording students. The lecturer should ask them to turn off their cameras and mute their microphones. Student participation can be maintained in the following ways:
- Questions can be asked in the chat.
- Recording in Zoom can be paused before allowing students to ask questions at the end.
- Instead, create a pre-recorded lecture that students watch before the Zoom session, so that the session in Zoom functions as a seminar where no recording is made.
Saving recordings
Recordings are not stored locally on your computer but are saved in Panopto. This is due to two risks:
- Recordings are considered sensitive data until they are completed, requiring a certain level of security.
- Previously, there was limited control over where recordings were stored, posing a risk. To address this, local storage has been disabled. From Panopto, a local version can be downloaded, which allows IT department logging.
Log in to the Zoom App
If you prefer using the Zoom application instead of a browser, you can download it here.
After installation, log in via SSO (Single Sign-On) using our domain: uiano
Virtual background
If your computer is powerful enough, you can enable a virtual background.
Be aware that some computers may generate additional fan noise with this feature enabled, which can be disruptive in a meeting.
This feature allows you, for example, to display a UiA logo as your background.
Security and privacy
- Zoom provided by Uninett AS complies with GDPR and Norwegian privacy legislation. Uninett’s Zoom service is entirely separate from the American public service and runs on a separate Nordic platform, securely designed for all users in the knowledge sector.
- Livestreaming to Facebook/YouTube is disabled
- The ability to auto-save chat is disabled
- The ability for others to control your camera is disabled
