Panopto

Panopto is the video platform used by staff and students at UiA to secure and share video material.

Tools for uploading, storing, and sharing video

Panopto was introduced at the end of 2023 when the Kaltura service was discontinued, and it is integrated into Canvas.

Panopto allows you to upload and share your videos, provides automatic translation and transcription, and ensures that video material is stored securely.

Automatic transcription

In Panopto, we can automatically transcribe everything that is said in the videos. Captioning spoken content is useful for meeting accessibility requirements. The automatically generated text is not as accurate as manual captioning, so it is advisable to review and correct errors in the text.

To transcribe a video, select Settings (the gear icon) > Captions.

Once the captions are generated, they can be edited and corrected under Edit > Captions.

For longer recordings, such as lecture captures, it might not be worth the effort to correct everything. Students will need to click on a symbol on the player to view the subtitles. Many people have experienced that some types of online videos have autogenerated text.

Zoom and Panopto

Recordings from Zoom are not stored locally on your device, but will end up on Panopto. This is due to two risks:

  1. Recordings are considered sensitive data until they are completed, and thus require a certain level of security.
  2. Previously, there was limited control over where recordings were stored, which posed a high risk. The measure implemented was to disable the option for local storage. From Panopto, it is possible to download a local version, which provides a log for the IT department.

You can download from Panopto if you wish to have the recording locally. It is also important to protect personal information and have consent for recording if it involves others who will be recorded in the future.

The recording can be processed and edited in Panopto. If you wish to download the meeting as an audio file (mp3), go to Settings (the gear icon) on the video, then select "Outputs" and "Download audio podcast".

Training and accessibility

All UiA staff and students can use the video service.

Below, you will find a .pdf version of the PowerPoint used in training. It contains several interactive links to various training resources.

Translation

Videos with captions can have those captions automatically translated into another language.

For the specific video, select Settings > Captions. At the bottom, you can choose "Order translation," where you'll also select the language.

If you have a large amount of video to translate, we ask that you contact the Media Services Section (more than 10 hours of video per month).

Please note that this is an automatic translation, so the quality may vary.

It is noted on the site that translation costs 0.013 euros per minute of video. We have some translation included in our agreement, so there usually won't be any cost. However, please contact us if there is a large amount of video.

Privacy in video material

Recordings that contain personal data must comply with the requirements of the Data Protection Act. This applies to all videos, regardless of their age. If you have videos in your area that do not meet the requirements of the Data Protection Act, you must either ensure that they comply (for example, by obtaining consent) or delete the videos. Read more about the requirements of the Data Protection Act and obtaining consent on the information page about data protection in images and videos and in UiA's guidelines for the use of video teaching (in Norwegian).

Procedures for storage and deletion

A video that is no longer in use will be moved to an archive after a certain period and subsequently deleted. The owner of the video will receive an automatic notification about this three weeks in advance and can choose to retain the video if desired.

Videos that are not in use will be moved to the archive after a certain period and then deleted.

Note that videos are only moved to the archive when they have not been played for 18 months. The owner of the video will receive a notification about this, offering the option to prevent the video from being moved with a single click.

Videos moved to the archive will still appear in searches within Panopto but will not be available for immediate playback. It can take up to 48 hours to retrieve a video from the archive back to Panopto.

After 18 months in the archive, the video will be deleted, meaning it will have been unused for three years. Also, prior to deletion, the owner of the video will be notified three weeks in advance.

Remember that you can still delete your own outdated videos. With the procedures for storage and deletion, we aim to prevent unused videos from lingering for years, which is beneficial for both the environment and data protection.
