Pensioners and emeriti who still wish to contribute voluntarily in a manner relevant to UiA's activities can be offered an extended affiliation agreement without being employed. This primarily applies to activities related to UiA’s research activities or support functions related to research or teaching.
Decisions on whether such an offer should be made are determined on a case-by-case basis by the management of the relevant unit, and pensioners cannot claim a right to continued affiliation.
The agreement must be approved by the director (and dean) of the respective unit.
Possible activities
Activities that pensioners may voluntarily engage in without pay can include:
- Continuing and completing research projects
- Dissemination and popularisation
- Mentoring, supporting newly recruited and/or younger staff
- Project participation
- Participation in/development of networks
- Any other relevant involvement
Agreement
Extended affiliation with UiA should be regulated through an agreement between the pensioner and the director (and dean) of the respective unit. See the agreement template here. The agreement should be made before the individual becomes a pensioner to avoid disruption of IT access, with the start date from the pension commencement. The pensioner's formal employment relationship with UiA is terminated, and therefore, there cannot be any conditions regarding work obligations or the delivery of specific results.
Examples of content in the agreement may include:
- The purpose of the pensioner's continued affiliation with UiA
- Duration of the agreement
- Specific details of what the affiliation offer includes
- The pensioner's reporting to the unit’s management on the status and progress of the work
- The requirement for the pensioner to familiarise themselves with and adhere to UiA's guidelines related to health, environment, and safety
- Guidelines for the use of ICT
- Any other special conditions regarding the specific activity that should be agreed upon in the contract
Access to UiA's infrastructure
What the offer includes will be subject to individual assessment in each case and determined by the management of the respective unit. Examples may include access to:
- Virtual workplace, with access to the internet, databases, analysis tools
- Standard IT tools, software updates, user support
- Library, reading rooms, physical workspace
- Email address, web presentation of personal projects, registration of publications in databases
- Administrative support services
- Scientific equipment, consumables, chemicals
- Technical assistance, laboratory services
The agreement should normally not be concluded for more than one year at a time.
Financing
Specific costs associated with the extended affiliation for pensioners should be financed within the units' local budget frameworks.
A condition for such an offer is that the environment has the necessary resource flexibility. Units cannot demand additional space or resources based on the offer of workspace to pensioners.
Manager's responsibilities for new agreements and extensions
Use the agreement template when entering into an agreement. It should be signed by the Faculty Director/Department Director (in consultation with the dean for emeriti) and the pensioner.
The signed agreement should be archived in 360.
Send the agreement to your recruiter in HR through 360.
